prepare for the worst, and in doing so, avoid it!

set clear policy

Implement a strongly worded policy prohibiting the addition of any software or hardware to your machines (or at least have your designated staff liaison check with us first). The most innocuous-seeming bit of add-on software can cause a disaster. You may want to include formal notice about not removing company software without permission, which will protect you and your company legally in the event of a software piracy dispute.

Designate a staff member to be your point person to work with us. Many problems can be solved quickly over the telephone if a modestly knowledgeable person is present and responsible for maintaining your systems.

Technology is failure prone. Manufacturers hype benefits and performance, rushing products to market, and systems require regular maintenance to perform within reasonable limits. The responsibility is clearly the owner/user’s, and though we may do everything a supporting entity can appropriately do, including regularly scheduled maintenance, the possibility of failure still exists.

secure your internet access, and backup (or perish)

As an individual trader, or growing business of any type, it is equally important to insure that you protect yourself from prying hands over the net, and equipment failure. CPU and network vulnerabilities to virus attacks, as well as equipment failure suggest you would be wise to have a strategy for security, as well as regular backups. Both require thought and planning to create and implement. Any connection to the internet is vulnerable, especially any broadband connection such as DSL or cable modem.

As well, any hard drive can die. A drive that's been running happily for years may die. A drive that's brand new may die. A drive can die abruptly, with no opportunity for last words, and no chance to rescue that crucial file or trading workspace configuration that took you weeks or months to create and implement.

If any of these disasters occur, the deity of your choice will not likely provide for the recovery of your data. We will likely not be able to help either. Your files will be gone.

Avoid the unnecessary time and expense of recreating elaborate proprietary work that was masterminded once already. Avoid paying money to data recovery services, which may charge you thousands and still recover few if any of your files. Avoid calling us in hysterics. To wit: don't get lulled into complacency because things have been going well. Monitor your network firewall, and check your backups regularly. We call it your security strategy!

A measurement of the state of your security might be found in asking yourself: 'How will I feel if.."

Getting a dead drive replaced is not an ordeal if you have a current backup. Avoiding a CPU or company-wide viral wipeout is a matter obtaining and using the necessary hardware and/or software tools, along with having an clear understanding of how to avoid vulnerabilities.
